From Firefighting to Forecasting: Mastering the Capital Planning Framework

In today’s facility management landscape, many factors force leaders into a cycle of reactive firefighting. This session, led by Justin Dyson, provides a strategic roadmap to break that cycle by mastering the art of capital planning and forecasting. Participants will explore the hidden costs of planning deficiencies, including emergency premiums, energy waste, and diminished institutional credibility, while learning how to transition toward data-driven, proactive leadership.

The session introduces a comprehensive four-step framework:
1. Inventory & Assessment: Establishing a robust data foundation by defining critical assets and accurate replacement costs.
2. Prioritization: Moving beyond simple chronological lists to a weighted ranking system based on risk and impact.
3. Making the Financial Case: Strategies for communicating with boards by quantifying the “cost of inaction” and aligning facility health with the organization’s mission.
4. Automation: Transitioning from static spreadsheets to a living document via system integration and real-time monitoring of the Facility Condition Index (FCI).

By the end of this session, attendees will be equipped to build stakeholder trust through transparency and move from wish lists to strategic, long-term success.

4. Establish a Dynamic Data Ecosystem: Attendees will understand how to transition from static spreadsheets to a living capital plan by integrating asset inventory with a CMMS to track the Facility Condition Index (FCI) in real time.
